Now Hiring – Guest Experience Coordinator

Position Description: 

We’re looking for a passionate, welcoming, customer service professional ready to join an incredible team that provides life-changing treatments for guests! This position is responsible for enhancing the overall guest experience by greeting guests upon arrival, educating guests on the different skincare and cosmetic services we offer, and coordinating their visit with appropriate staff members in an efficient and pleasant manner. Also responsible for registering guests, answering the telephone, responding to online inquiries,  preparing the office for the day, scheduling guest appointments, and collecting payment for services.

Core Functions

  • Provides exemplary customer service at all times
  • Greets each guest warmly  – both in person and on the phone
  • Efficiently and warmly handles phone calls and in-person interactions with guests to ensure all of their needs are met
  • Answers phone, email and in person inquiries in a timely, effective manner 
  • Responsible for helping accommodate guests and visitors during their time at the clinic
  • Distribute forms and paperwork to guests and check them over to ensure that required fields are completed properly
  • Appropriately discusses consultations, procedures and skin care services with prospective guests in-person, over the phone, or through digital channels—encourages them to schedule an appointment, or transfers them to the Patient Care Coordinator
  • Superior interpersonal and communications skills
  • Outstanding listening skills and ability to empathize with others
  • Appropriate sense of discretion in dealing with varied and difficult situations 
  • Ability to convey a positive attitude in all dealings with others, whether patients or staff members
  • Manage inventory of necessary office supplies and coordinate reordering with the Marketing Director
  • Assists with non-surgical treatments in-office when necessary, such as rooming patients 
  • Keeps the patient reception area neat and clean at all times throughout the day, and ensures that refreshments are stocked
  • Maintains a clean work area and assists with environmental services
  • Assists other team members throughout the office with various tasks and projects
  • Neat, professional appearance
  • Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information
  • All other duties as assigned


Requirements and Qualifications

  • Associates or Bachelor’s degree strongly preferred
  • High school diploma or its equivalent required.
  • 1+ years of experience in customer service or reception (preferable healthcare setting)
  • A strong ability to team-build, a strong value system, unquestioned integrity, and good judgment 
  • Excellent listening, verbal, written communication and customer service skills
  • Excellent ability to multitask 
  • Ability to flexibly respond to changing demands
  • Ability to work effectively as a team member with physicians and other staff
  • Ability to appropriately interact with patients, families, staff and others 
  • Ability to work independently and make decisions consistent with company strategy and values
  • Knowledge of clinic policies, patient records, physician’s orders, procedures and guidelines
  • Proficient in performing all applicable treatments
  • Ability to maintain client confidentiality
  • Experience with EHR (Electronic Health Record) preferred


Physical Requirements

  • Occasionally sedentary role however, the person in this position needs to be able move about inside the office to access file cabinets, office machinery, etc
  • Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary
  • Ability to lift up to 15 pounds at times
